Short answer: the free WhatsApp Business app is enough if one or two people answer messages by hand and you are happy with that. The WhatsApp Business API is for when you want messages answered, bookings confirmed and reminders sent automatically, or when several people need to work from one number. The app is a phone; the API is a system.
What the WhatsApp Business app gives you
- A business profile: name, category, description, hours, address, website link.
- A catalogue of products or services with photos and prices.
- Quick replies (saved answers you send with a shortcut), labels to sort chats, and a basic greeting and away message.
- One phone (plus linked devices for the same person).
- Free.
For a solo professional, a small shop or a studio where the owner answers everything personally, this is often the right tool. Set the profile up fully, use the catalogue, and reply fast.
Where the app runs out
- Nobody answers at 9 pm. Away messages say you are away; they do not answer the question or offer a slot.
- Everything depends on one phone. If that phone is busy, lost or on leave, the business goes quiet.
- Several people cannot share the number properly. No assignment, no “who replied”, no history per agent.
- Nothing connects to anything. A booking agreed in chat still has to be typed into the calendar. An invoice still has to be made by hand.
- Broadcasts are limited to people who have saved your number, and are easy to misuse.
What the WhatsApp Business API makes possible
The API is WhatsApp’s channel for software. On its own it does nothing visible; it is used through a provider or a tool built on it. With it you can:
- Acknowledge every message in seconds, any hour, in your tone.
- Ask qualifying questions automatically (“Which treatment? Which area? Which day?”).
- Offer and confirm bookings against your real calendar, and send reminders.
- Send invoices, payment links and payment reminders when a job is marked done.
- Route conversations to the right person, with a shared inbox and history.
- Send approved template messages (order updates, reminders, confirmations) to customers who have opted in.
- Connect to your website forms, CRM, sheet or billing tool so nothing is typed twice.
This is what we mean by WhatsApp automation on our Automation and AI page.
What the API costs
Three parts, and you should ask any agency to list all three:
- Meta’s conversation charges. WhatsApp charges per conversation window, with different rates for messages you start (marketing, utility) and messages customers start. Rates are published by Meta and change; replies to customer-initiated chats within the window are cheap or free.
- A provider or platform fee. You access the API through a Business Solution Provider or a tool built on one. Many have free or low-cost starter tiers.
- Setup. Designing the flows, writing the messages, connecting your calendar and tools, testing with real messages. This is the agency’s work and is quoted per project.
For a small business doing a few hundred conversations a month, the running cost is usually modest next to the time it saves. The setup is the real investment, and it is a one-off.
Things that are true of both
- You need a verified business. The API requires Meta Business verification; have your registration documents ready.
- Customers must opt in to receive messages you start. Spam gets numbers blocked, fast.
- A green tick (official business account) is a separate application and is not guaranteed.
- Honesty matters. Automated messages should say what they are, and a person must be reachable.
How to decide
| If this is you | Use |
|---|---|
| One person answers everything and keeps up | The app, set up properly |
| Enquiries go unanswered overnight or at weekends | API with auto-acknowledgement and slot offers |
| Two or more people need to share the number | API with a shared inbox |
| Bookings, reminders or invoices are typed by hand | API connected to your calendar and billing |
| You send order or appointment updates to many customers | API with approved templates |
